Self-Hosted Intelligent Document Processing

Intelligent document processing from NeuralChainAI runs self-hosted in your own cloud account or on your own servers. AI agents read invoices, receipts, purchase orders, claims and intake packets, extract the fields your team types in, check them against your rules and post them to QuickBooks, your ERP or your CRM. Exceptions go to a queue for a person to review.

Documents Handled

Documents Our AI Document Processing Reads

AI data entry for the paperwork finance, operations and intake teams handle, as PDFs, scans, photos or email attachments.

Invoices

AI invoice processing for vendor bills, from invoice number and dates to line items, tax and totals, matched to purchase orders for AI accounts payable automation.

Receipts and expenses

Receipt photos and scans read for merchant, date, tax and amount, then coded for AI expense management.

Purchase and sales orders

Customer purchase orders become sales orders for AI order processing, and remittance advice is matched to open invoices for accounts receivable.

Forms

Applications, onboarding paperwork and inspection reports, including tables and handwritten fields.

Claims

AI claims processing for claim forms, loss notices and repair estimates, with policy numbers and amounts checked before an adjuster opens the file.

Intake packets

AI intake for multi-page packets such as patient registration or new-client files, split into documents and filed to the right record.

How It Works

Extract, Validate and Post With an Exception Queue

Eight steps take each document from the inbox to the record it creates, with a person reviewing the exceptions.

1

Capture from inboxes and folders

A self-hosted n8n workflow picks up each new file from a mailbox, shared folder, scanner or upload form.

2

Parse the page layout

Docling, MinerU, PaddleOCR or olmOCR turns each page into text, tables and reading order, scans and photos included.

3

Classify and split

A model labels each file by document type and splits combined PDFs into separate documents.

4

Extract fields to your schema

A self-hosted model fills a JSON schema you define, from vendor to line items and totals. vLLM's structured outputs keep each answer in that schema.

5

Validate against your rules

Totals must add up, tax must match the rate, the vendor must exist in your records and the purchase order must be open. Duplicates are flagged.

6

Send exceptions to a review queue

Low-confidence fields and rule breaks go to an exception queue, with the page image beside the values. A reviewer corrects or approves each one.

7

Post to QuickBooks, your ERP or your CRM

Approved records post as bills, sales orders, claims or contacts through each system's API, with only the actions the job needs. Intuit's QuickBooks Online MCP server, for example, can switch off its create, update and delete tools separately.

8

Log every step

Each posted record links back to its source page, parser and model versions, rule results and approving reviewer.

Open-Source Parsing Stack

Docling, MinerU, PaddleOCR and olmOCR on Your Hardware

Parsing turns a page into text, tables and reading order before a model extracts any field. We choose the parser for each document type and run it in your environment. Licences are from each project's repository.

Self-Hosted Deployment

Why Teams Run Intelligent Document Processing Self-Hosted

Invoices, claims and intake packets carry bank details and personal data. A self-hosted pipeline keeps them where your other records live:

1 Parsers, models and the review queue run in your AWS, Azure or Google Cloud account or on your own servers.
2 Open-weight models serve through vLLM or Ollama on your GPUs, so page images and extracted fields stay on your network.
3 Source files, extracted data, reviewer edits and logs follow your own retention policy.
The Self-Hosted Answer

One pipeline you own, from inbox to posted record.

Parsing, extraction, validation, review and posting run as one stack in your environment, under the access controls, backups and monitoring you already use.

Accuracy and Review

How We Measure Extraction Accuracy and Review Exceptions

Accuracy is measured on your own documents before launch and tracked after it, with a person reviewing every exception.

A labeled test set

We label a sample of your own documents and score each field against the correct value before anything posts.

Field-level confidence

Each extracted value carries a confidence score, and you set the threshold that sends a field to review.

Business rules on every document

Totals, tax, purchase order matches and duplicate checks run on every document, whatever the model's confidence.

Straight-through rate

We track the share of documents that post with zero edits, per document type and vendor.

Corrections feed back

Reviewer edits become new test cases, prompt changes or rules in the next release.

Audit trail

Logs show who approved each record, which rules ran and which model version read the page.

Compare

Hosted IDP Services Compared With Self-Hosted Intelligent Document Processing

Hosted document AI services and a self-hosted pipeline both turn documents into data. They differ in where the work runs and who owns each piece.

Questions

Frequently Asked Questions on Intelligent Document Processing

Intelligent document processing (IDP) uses AI to read documents such as invoices, receipts, forms and claims, pull out the fields a person would type, check them and send them to a business system. A parser reads the layout, a model extracts the fields into a fixed schema and rules validate the result.

The parsers, the extraction model, the review queue and the logs all run in your cloud account or on your own servers. An open-weight model serves through vLLM or Ollama on your GPUs, so page images and extracted values stay on your network. Outbound calls post approved records to your own systems, such as QuickBooks Online or your ERP.

Accuracy depends on your documents, so we measure it on them. We score each field on a labeled sample of your invoices before launch, then track the straight-through rate per vendor. Low-confidence fields and rule breaks go to the exception queue for a person to check.

Hosted document AI services charge by usage. Amazon Textract's pricing page, checked in November 2026, shows its Analyze Expense API at $0.01 per page at one million pages in US West (Oregon). A self-hosted pipeline swaps per-page fees for your own compute, and olmOCR's maintainers estimate their toolkit converts a million pages for under $200. Our build depends on your document types, volume, rules and systems, and the strategy session gives you a scoped figure.

Yes. Approved records post through each system's API under a service account limited to the records the job creates, such as bills in QuickBooks Online, sales orders in an ERP or cases in a CRM. The ERP's own permissions apply too. Odoo checks every external API call against the user's access rights, and Microsoft's Dynamics 365 ERP MCP server returns only the objects the agent user's security role allows.
