Microsoft 365 Copilot Readiness, Rollout and Adoption
Microsoft Copilot consulting for companies bringing Microsoft's AI assistant into Microsoft 365. We check SharePoint, OneDrive and Teams permissions, match each team to the right Copilot licence, set up Purview labels and DLP, run a pilot group and train staff by role in the apps they use every day.
Copilot Readiness: Checking SharePoint, OneDrive and Teams Permissions
Microsoft states that "Microsoft Copilot only surfaces organizational data to which individual users have at least view permissions." Copilot answers from what each person can already open, so readiness work tightens access before licences go out.
Permission Review
We map who can open which SharePoint sites, OneDrive folders and Teams channels, and flag links and groups that reach too many people.
Oversharing Assessment
Microsoft Purview DSPM data risk assessments show where sensitive content is shared too widely. We run them and work through the findings with IT.
SharePoint Advanced Management
The SAM content management assessment shows site sprawl. Restricted Content Discovery keeps Copilot away from sites still being cleaned up.
Sensitivity Labels
We set up or tidy your label scheme and label the libraries that hold contracts, HR files and financials.
Stale Sites
Inactive sites and old project channels stay searchable for anyone with access. Their owners archive, delete or restrict each one.
Findings Register
Every finding is logged with its owner, fix and sign-off, so licences go first to teams whose content is ready.

Choosing Between Copilot Chat, Microsoft 365 Copilot and Copilot Business
Microsoft Copilot for business comes in three levels. We match each team to the level its work needs.
| Copilot Chat | Microsoft 365 Copilot (enterprise add-on) | Microsoft 365 Copilot Business (add-on) | |
|---|---|---|---|
| Price on Microsoft's site | No additional cost for Microsoft Entra account users with an eligible Microsoft 365 subscription | $30.00 per user per month, paid yearly on an annual subscription | $18.00 per user per month paid yearly, or $25.20 paid monthly |
| Adds to | Eligible Microsoft 365 subscriptions | A qualifying plan such as E3, E5, Business Basic, Standard or Premium, or Apps for business or enterprise | Business Basic, Standard or Premium, Apps for business, or Teams Essentials |
| Copilot Notebooks | Limited capabilities | Included | Included |
| Typical fit | Staff who draft and ask questions occasionally | Heavy users on enterprise plans | Heavy users on Microsoft 365 Business plans |
Microsoft also lists Business Standard with Copilot at $23.50 and Business Premium with Copilot at $32.00 per user per month paid yearly ($28.20 and $38.40 monthly). Figures come from Microsoft's Copilot pricing pages and licensing guide, which note that "prices shown are for marketing purposes only and may not reflect the actual list price." Microsoft lists the $18.00 Copilot Business price as a discount offer from July 1 to December 31, 2026, with an annual commitment and promotional pricing for the first year only (originally $21.00). Copilot Business supports up to 300 licensed users per tenant, and larger organizations use the enterprise add-on. Microsoft bills licences directly.
Microsoft Purview for Copilot: Labels, DLP, Retention and Audit
Microsoft Purview decides what Copilot can draw on and what your company keeps afterwards. We configure the pieces that govern Copilot day to day: sensitivity labels on confidential libraries, Purview DLP for Copilot tied to those labels, retention settings for Copilot activity and audit search your compliance lead can run.
Copilot governance your compliance lead can check.
Each setting maps to a clause in your Copilot use policy and sits in a configuration register that IT and compliance share.
Running a Copilot Pilot Group and Measuring Adoption
A pilot group tests Copilot on real work before the wider rollout, and Microsoft's Copilot usage reports show whether Copilot adoption holds.
Choose the Pilot Group
We pick people from teams whose content passed the readiness check: heavy email and meeting users, an Excel analyst, a manager and someone from IT.
Record How the Work Runs Today
Each pilot user notes how they handle a few of their own tasks today, so later feedback compares like with like.
Measure With Usage Reports
We read Microsoft's Copilot usage reports by team and app, and pair them with a short survey on which tasks Copilot helped with.
Expand Team by Team
Licences go to the next teams once their content passes the readiness check and their training and use policy are in place.
Copilot Notebooks Set Up for Project Work
Microsoft describes Copilot Notebooks as a way to "keep all project content in one smart workspace with AI assistance to organize tasks and support collaboration." They are included with the paid Copilot licences and have limited capabilities in Copilot Chat. We set up notebooks for projects, client accounts and recurring reports, and Copilot Pages give a team a shared page to build on an answer together.
One notebook per project, with a named owner.
Each notebook gets an owner, a naming convention and a list of approved sources.

Learn more →A Copilot Use Policy Your Staff Can Follow
Copilot follows your Microsoft 365 permissions. A short use policy covers what staff ask it and what they send on.
It names the approved Copilot, the data that stays out of prompts, who reviews AI-drafted work before it reaches a client, how that work is disclosed, which personal AI accounts are allowed for work and who staff tell when an answer looks wrong.
We write it through our AI acceptable use policy service, then turn each clause into a Microsoft 365 setting where one exists: sensitivity labels, DLP for Copilot, retention and licence assignment. Staff read and acknowledge it in their role-based training.
What Shapes a Microsoft Copilot Rollout
These six factors set the scope of a Copilot rollout, and we size each one with you in the strategy session.
Licences and Plan Mix
Who needs a paid Copilot licence, who stays on Copilot Chat, and which Microsoft 365 plans they hold.
Sites and Sharing
How many SharePoint sites, Teams and shared folders you have, and how much broad sharing the readiness check finds.
Labels and Purview
Whether a label scheme exists, which Purview features your licences include and who owns DLP.
Data and Client Terms
Regulated records and client contract terms that set how AI may use certain files.
Pilot and Roles
How many roles join the pilot and how many training tracks the rollout needs.
Other AI Assistants
Whether staff also use ChatGPT, Claude or Gemini under one policy and one identity setup.
Learn more →When a Private AI Assistant Fits Better Than Copilot
Copilot suits companies whose work lives in Microsoft 365. Some teams need the model, documents and logs in an environment they control.
When client contracts or regulators require prompts and files to stay on your own servers or cloud account, we build a private ChatGPT for business on your infrastructure, or run open-weight models through our self-hosted AI deployment service. A company can run both: Copilot for everyday Microsoft 365 work and a self-hosted assistant for the most sensitive files.
If your teams also use Claude, ChatGPT or Gemini, our AI enablement service puts every assistant under one policy and one identity setup.
